Beauty One Spa & Weightloss Centre Inc., operating as Beauty One and Beauty One Spa (“Beauty One,” “we,” “us,” or “our”), respects your privacy and is committed to protecting the personal information entrusted to us.
This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you visit Beautyone.ca, book or receive services, contact us, complete forms, make payments, or otherwise interact with Beauty One.
By providing personal information to Beauty One, you acknowledge the practices described in this Privacy Policy. Where consent is required by law, we will obtain that consent.
Nothing in this Privacy Policy limits any rights available to you under applicable Canadian privacy law.
1. Information We Collect
Depending on how you interact with Beauty One, we may collect:
- Contact information, including your name, telephone number and email address.
- Appointment information, including services booked, appointment dates, service preferences, booking history and notes relevant to your appointments.
- Service and safety information you choose to provide, including allergies, sensitivities, previous reactions or other information reasonably necessary to determine whether a service is appropriate for you.
- Payment and transaction information, including amounts paid, payment status, refunds, credits and transaction identifiers. Payment-card information may be processed directly by our payment providers rather than stored by Beauty One.
- Communications, including emails, text messages, contact-form submissions and communications relating to your appointments.
- Website and device information, such as IP address, browser type, device information, pages viewed, referral information and interactions with Beautyone.ca.
- Marketing preferences, including whether you have consented to receive promotional email or SMS communications.
- Content you voluntarily provide, such as reviews, testimonials, photographs or social-media content.
We limit collection to information reasonably required for identified business purposes.
2. How We Use Your Information
Beauty One may use personal information to operate Beautyone.ca; schedule, confirm, modify and manage appointments; provide requested beauty and wellness services; communicate with clients; process payments; maintain appropriate client and service records; respond to inquiries or concerns; administer promotions, credits or loyalty programs; prevent fraud and misuse; improve our services and website; maintain security; comply with legal obligations; and establish, exercise or defend legal claims.
Information relating to sensitivities, allergies or similar service-safety concerns will be used only where reasonably necessary for providing or managing your services, safety or related legal obligations.
3. Appointment Communications
When you provide your telephone number or email address to book an appointment, Beauty One may send you service-related communications, including booking confirmations, appointment reminders, rescheduling notices, receipts and other information necessary to manage your appointment.
These operational messages are different from promotional marketing communications.
4. Marketing Communications
Beauty One may send promotional emails or text messages where you have provided consent or where otherwise permitted by applicable law.
You can unsubscribe from marketing communications at any time using the unsubscribe option provided in the message or by contacting us.
Unsubscribing from marketing does not prevent Beauty One from sending necessary appointment, transaction or service-related communications.
Canada's anti-spam legislation generally requires consent for commercial emails and texts and requires businesses to provide identification and an unsubscribe mechanism.
5. Shopify & Booking Technology
Beautyone.ca is currently operated using Shopify.
We may also use third-party providers to support appointment scheduling, forms, payment processing, email and text communications, website analytics, calendars and other business functions.
When you use Beautyone.ca or our booking services, certain personal information may therefore be processed by these providers on Beauty One's behalf.
Shopify itself receives information such as contact information, device information, transaction activity and, where applicable, payment information when consumers interact with Shopify-powered merchants.
Third-party providers are also subject to their own terms and privacy policies.
6. Payments
Payments may be processed through Shopify Payments or other authorized payment processors.
Beauty One may receive information relating to a transaction, such as your name, amount paid, payment status, transaction identifier and limited payment details.
Beauty One does not require access to your full payment-card number where payment information is handled directly by an authorized payment processor.
7. Cookies & Website Analytics
Beautyone.ca may use cookies, pixels and similar technologies necessary to operate the Website, remember preferences, understand Website usage, measure performance, improve services and, where enabled and permitted, measure marketing effectiveness.
Certain cookies may be placed or processed by Shopify or other service providers.
You may be able to manage cookie and privacy preferences through your browser or through privacy controls provided on Beautyone.ca.
Shopify provides merchants with customer-privacy controls including cookie-banner and data-sharing settings.
8. Social Media
If you interact with Beauty One through platforms such as Instagram, TikTok, Facebook or another social-media provider, information may also be processed by that platform according to its own privacy practices.
Tagging Beauty One, sending us a direct message or otherwise interacting with our accounts does not automatically authorize Beauty One to use an identifiable photograph of you for advertising.
Where client photographs or identifiable content are used by Beauty One for promotional purposes, we will rely on appropriate consent.
9. When We Share Information
Beauty One does not sell or rent customer personal information or customer lists.
We may disclose information to service providers that help us operate our business, including Shopify, booking providers, payment processors, communications providers, website and technology providers, professional advisors and other contractors that require access to information to perform services for us.
We may also disclose information where reasonably necessary to comply with applicable law, respond to valid legal process, investigate fraud or security concerns, protect the safety or legal rights of Beauty One or another person, collect amounts properly owed, or establish, exercise or defend a legal claim.
If Beauty One undergoes a merger, acquisition, financing, restructuring or sale of some or all of its business or assets, personal information may be disclosed as part of that transaction subject to applicable law and appropriate safeguards.
10. Information Processed Outside Canada
Some of Beauty One's technology providers may process or store information outside Ontario or outside Canada.
As a result, information processed in another jurisdiction may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement agencies or governmental authorities where legally required.
Shopify is a Canadian company but states that it processes information internationally, including in the United States.
Beauty One remains responsible for personal information under its control as required by applicable law.
11. Security
Beauty One uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the personal information we hold.
These measures may include limiting access to client information, password and account protections, reputable third-party technology providers, secure payment processing and reasonable internal controls.
However, no website, electronic communication, database or internet transmission can be guaranteed to be completely secure.
Clients should avoid sending highly sensitive information through unsecured email, social media or other communication channels unless necessary.
12. Privacy Breaches
If Beauty One becomes aware of a privacy or security incident involving personal information, we will investigate and take reasonable steps to contain and address the incident.
Where required by applicable privacy law, Beauty One will notify affected individuals and report qualifying privacy breaches to the appropriate regulatory authority.
PIPEDA includes obligations concerning safeguards and certain privacy-breach reporting and notification requirements.
13. Retention
Beauty One retains personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate legal, accounting, tax, fraud-prevention, dispute-resolution and business-record requirements.
Different categories of information may therefore be retained for different periods.
When personal information is no longer reasonably required, Beauty One may securely delete, destroy or anonymize it, subject to applicable legal and technical requirements.
14. Your Privacy Choices
Subject to applicable law, you may request access to personal information Beauty One holds about you and request correction of information that is inaccurate or incomplete.
You may also withdraw consent to certain uses of your personal information where consent is the legal basis for that use.
Withdrawal of consent does not affect processing that occurred before consent was withdrawn and may not apply where Beauty One is legally required or otherwise permitted to retain or use information.
In some circumstances, withdrawing consent may mean that Beauty One can no longer provide a particular service.
PIPEDA provides individuals with rights to request information about the existence, use and disclosure of their personal information, obtain access and challenge its accuracy.
15. Requests to Delete Information
You may contact Beauty One to request deletion of personal information associated with you.
Deletion requests will be considered in accordance with applicable law and Beauty One's legal and legitimate record-retention requirements.
Certain information may need to be retained, including records reasonably necessary for financial reporting, tax obligations, appointment or transaction records, fraud prevention, dispute resolution, legal claims or compliance with applicable law.
Accordingly, a deletion request may not result in immediate deletion of every record.
Where applicable, Shopify also provides merchants with tools to process customer data requests.
16. Minors
Beauty One does not knowingly collect personal information from minors beyond what is reasonably necessary to provide an authorized service or respond to an inquiry.
Where appropriate, Beauty One may require consent or involvement from a parent or legal guardian before providing a service to a minor.
17. Accuracy of Information
We rely partly on clients to provide accurate and current information.
Please notify Beauty One if your contact information or other information relevant to your services changes.
Beauty One may update or correct information where reasonably necessary.
18. Automated & AI-Assisted Services
Beauty One may use automated or artificial-intelligence-assisted tools to help respond to inquiries, manage appointments and provide customer service.
Information provided through these systems may be processed by technology service providers acting on Beauty One's behalf.
Beauty One will use such systems only for legitimate business purposes and will apply reasonable safeguards appropriate to the information processed.
Clients may request assistance from a Beauty One team member where reasonably available.
19. Changes to This Privacy Policy
Beauty One may update this Privacy Policy as our business, technology or legal obligations change.
The most current version will be published on Beautyone.ca with the date of the latest update.
Where a material change requires additional notice or consent under applicable law, Beauty One will provide such notice or obtain such consent as required.
